# How to send a client an estimate as a PDF

Clients find it easier to receive an estimate as a clean PDF with the right rooms, prices and photos and no extra detail. ArchiBoard lets you decide what goes into the document: the whole estimate or selected items only, with alternatives or without prices.

1. **Select items (if you don't need all of them).** To show the client only part of the estimate, tick the items you need. If nothing is ticked, everything is exported.
2. **Open the export.** Open «Estimates» and click «Export to PDF» (or «Export to Excel» if you need a spreadsheet).
3. **Choose rooms and items.** In «Rooms», choose the rooms you need or «Whole estimate». If you ticked items, turn on «Selected items only».
4. **Set up prices and photos.** Turn product prices and photos on or off. If you like, add alternatives — they appear in the document below the main items.
5. **Download the document.** Click «Download PDF» (or «Download Excel»). The file is ready to send to the client.

- Alternatives in the PDF appear below the main product marked «Alternative option». The bottom of the document shows the base total and the total with alternatives.
- Your studio logo in the PDF is taken from «Profile Settings».
- Internal data (purchase prices, markup, profit) never appears in the client PDF.
- The Excel file has one sheet with all fields, which is handy for detailed analysis.
